MANAGER OF OPERATIONS

Arcata House Partnership (AHP) is a fast-growing non-profit organization in Humboldt County that offers the full continuum of services in homeless services to individuals and families who are experiencing housing and/or food insecurity. We are a locally and federally funded agency that serves the homeless community with compassion, dignity, and empowerment using a Housing First philosophy. We are looking for a Manager of Operations to join our team and oversee the day-to-day activities of AHP, ensuring that the agency is performing efficiently and effectively. The Manager of Operations is also responsible for human resource functions including (but not limited to) recruiting, preparing compensation and benefits packages, and maintaining updated employee files.

ESSENTIAL JOB FUNCTIONS:

• Implements policies and procedures that will improve day-to-day operations;
• Develops and documents standard operating procedures;
• Ensures property, general liability, health, and worker’s compensation insurance plans are up-to-date and accurate, providing the proper coverage for the agency;
• Maintains operational and employment files, insuring that filing systems are well-organized and files are current;
• Coordinates system or software installations or upgrades and performs or schedules related trainings for staff;
• Maintains compliance with local, state, and federal authorities;
• Conducts new staff recruitment, hiring, and onboarding;
• Coordinates staff training program;
• Provides timely notifications of employment decisions;
• Addresses employee grievances in a professional manner;
• Conduct and document employee disciplinary decisions and terminations as needed, and in accordance with agency policy;
• Ensures compliance with workplace safety and behavior standards in multiple locations, including assisting supervisors in conducting workplace hazard assessments;
• Serves as the Injury and Illness Prevention Program safety officer;
• Provides information, advice, feedback, or assistance to others within the agency to refine work outputs, maximize efficiency, or resolve problems;
• Advises the Executive Director on policies and procedures; and
• Performs other related duties and tasks as assigned.

MINIMUM QUALIFICATIONS:

• Advanced degree in business administration, information services, human resources, or a related field (or equivalent experience);
• Five years of professional experience in public, non-profit, or private administration of 25 or more employees.
• Ability to remain calm under pressure;
• Understand and maintain employee privacy and confidentiality;
• Ability to physically lift 25 pounds;
• Valid CA driver’s license and acceptable driving record;
• Desire to be part of a close working team with common goals and have a positive attitude;
• Ability to follow written and oral instructions in English;
• Satisfactory criminal records check; and
• Must be eligible to work in the United States and provide work authorization.

REQUIRED SKILLS:

• Demonstrated ability to oversee and collaborate with staff;
• Knowledge of office management systems and procedures;
• Strong computer skills, including familiarity with Microsoft and Google products;
• Effective organizational abilities, including planning, delegating, and business processes;
• Excellent time management skills and ability to prioritize work to meet all deadlines;
• Current food handler certification completed at the time of hire if not before;
• Ability to adapt to new and challenging situations; and
• Maintain reliable and predictable attendance.

PREFERRED KNOWLEDGE AND ABILITIES:

• Principles and practices of office management;
• State and Federal labor laws, regulations, and guidelines;
• California workplace safety standards;
• Property, general liability, health, and worker’s compensation insurance requirements;
• Standard business arithmetic, including percentages and decimals; and
• Experience working with the homeless.

WORK ENVIRONMENT:

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.

• The noise level is low to high and may have frequent interruptions;
• There may be activity from other employees and clients of a distracting nature; and
• Work may be performed in a normal office environment with little exposure to outdoor temperatures, dirt, or dust.

• Able to hear alarms, sirens, and disturbances;
• Able to work at a desk and computer;
• Able to operate a vehicle safely;
• Ability to recognize and respond to dangerous situations;
• Ability to read and comprehend a variety of materials; and
• Able to stand; walk; twist; stoop; crouch; kneel; bend over at the waist; grasp; reach overhead; push, pull, move, lift and/or carry up to 25 pounds to waist height.

POSITION DETAILS, SALARY, AND BENEFITS:

• Full-time, Senior Level, Exempt position (with the ability to work evenings and weekends as needed);
• Starting salary $59,113.60 per year;
