Executive Assistant

We are seeking an organized and driven executive assistant, committed to supporting our CEO. What you’ll do

• Be the gateway to the CEO, facilitating access, support, and approachability.
• Monitor and manage the CEO’s calendar and tasks so commitments (tasks, meetings, etc.) are fulfilled.
• Ensure positive first impressions of CEO and of Ausland, setting a high standard of professional image internally and externally.
• Anticipate CEO’s needs and resolve them.
• Screen callers and visitors to prioritize needs and avoid unnecessary distractions.
• Receive and manage incoming communication and meeting requests to the CEO, bringing forward important information promptly.
• Schedule and attend meetings for CEO, taking notes and tracking action/follow-up items with staff.
• Drive CEO to meetings and job sites, leverage his time and take meeting notes, and photos for marketing, and communicate with staff.
• Organize, and maintain contracts and other legal documents for CEO review.
• Make travel and dining arrangements for the CEO.
• Perform additional office administrative functions, as needed.

• Excellent time management skills with a proven ability to meet deadlines
• Ability to function well in a high-paced and at times stressful environment
• Ability to be trusted with confidential information
• Interest in the design and construction industry.
• Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
• Ability to type a minimum of 50 words per minute
• Proficiency in Microsoft Office Suite.
• At least four years of related experience
