Director of Intake Operations

Behavior Frontiers, LLC is a leading agency providing applied behavior analysis (ABA) treatment to help children with autism and other special needs to reach their full potential. Our expert team of Board-Certified Behavior Analysts (BCBAs) and highly trained behavior technicians use ultramodern ABA methods to teach children social, communication, play, cognitive, and self-care skills, while reducing problem behaviors. Description:

Director of Intake Operations is responsible for the operational oversight of the intake department and driving results towards company KPIs. The Director is accountable for the productivity and performance of the intake team to achieve company goals and objectives for growth. The Director motivates the team members to excel and implements ongoing operational improvements to enhance the client and family experience. The Directors is proactive and deep dives into the data to uncover creative solutions to support the company’s overall mission.

Availability: Full Time (Monday – Friday / 40hrs a week)

Location: Gardena, CA

Responsibilities:

• Research and implement new directives for company growth
• Oversee performance metrics and monitor effectiveness of overall operations of intake department
• Manage company specific KPI’s and oversee productivity of team members in intake department
• Manage systems, process, and people-oriented methods to improve intake operations, including but not limited to screening, appointment scheduling, referral management, and customer service delivery
• Communicate and build relationships across company departments to ensure best practice sharing and implementation to enhance scalability and client satisfaction
• Maintain referral conversion rate at established best practice standard and ensure other metrics are met that support company’s KPI’s
• Coordinate with recruitment department to ensure adequate clinical capacity to meet the needs of clients and referral sources/partners
• Analyze data regularly to identify trends and solutions to improve the efficiency of intake operations according to company objectives
• Summarize and report referral statistics and trends to executive management. This entails daily, weekly, monthly intake dashboard summary reports and weekly, quarterly, monthly operational efficiency reports.

Requirements:

• Bachelors Degree
• Masters degree in Healthcare Administration or Business Administration preferred
• Extensive and diversified background with at least 5 years of experience in health care operations
• Experience with different software systems such as Salesforce
• Experience with authorization request/provider inquiries, such as eligibility and benefits verification, provider contracting status, diagnosis and treatment requests, coordination of benefits status determination, and billing codes
• Experience in leading teams that are made up of multiple positions
• Ability to collect and analyze data and metrics
• Ability to work with clinical personnel in the field and leading a team that will support intakes for the entire company
• Excellent verbal and written communication skills
• Provide negative TB test results
• Ability to clear FBI & DOJ fingerprinting
• Produce valid driver’s license and auto insurance
