Bell County Veterinary Hospital is a small animal practice. We are a 1-doctor practice that has been serving the community for over 25 years! Our experienced support staff is friendly, collaborative, and considerate.

We continue to evolve as the need for veterinary care changes and strive to serve our community with current veterinary medicine. Our facility includes an in-house surgery suite, in-house X-ray, blood chemistry capabilities, and a well-stocked pharmacy.

Position Purpose

Reporting to the Regional Director of Operations, the Practice Manager manages all essential business functions in the veterinary practice and supports the practice teams. The Practice Manager works in partnership with the managing Doctor (MDVM) to ensure successful practice operations, high client satisfaction, and to manage practice teams. In collaboration with the MDVM, the Practice Manager is responsible for ensuring profitability of the practice, growing the business, and all the while protecting the practice legacy. Additionally, ensure the practice has engaged and productive teams that are driving high-quality patient care and exceptional client service. The critical focus areas to drive the desired success fall under the following umbrellas: Practice Operations, HR, Marketing, Strategic Planning, and IT Management. The Practice Manager must be a strong people manager, possess great business acumen, and enjoy leading and developing a team.

Essential Responsibilities

Practice Operations

• Manages practice financial performance, putting plans in place and engaging teams around activities that drive revenue for practice growth.
• Manages practice expenses including, but not limited to pharmacy, supplies, labor, and facility.
• Ensures appropriate inventory management; ensuring an appropriate balance of regular stock and sales.
• Manages and partners with MDVM to ensure accurate pricing is addressed for practice.
• Provides input during annual budget planning.
• Able to analyze reporting and create reports using excel.
• Applies knowledge and understanding of veterinary practice management in directing successful daily operations, thereby allowing the doctors and technicians the time to successfully manage workload.
• Ensures that all IT within the practice is in top working order and partners with RDO/MDVM if there are opportunities to drive efficiencies.
• Understand and ensure compliance with appropriate regulatory agencies, including monitoring practice violations and dangerous situations; documenting and reporting incidents, filling reports, and partnering with RDO when appropriate.
• Ensures the cleanliness of the practice; ensures the environment contributes to an excellent client experience.
• Responsible for all scheduling of staff and ensures scheduling of patients is done to the expectation of the practice.
• Manages necessary vendor and supplier relationships to ensure quality support for practice supplies, tools, equipment, and resources.
• Partners with MDVM to maintain an appropriate medical record system that complies with legal standards.
• Regularly reviews client feedback and identifies opportunities for practice improvement. Actively engages with clients to ensure satisfaction and resolve problems.
• Ensures that the practice’s marketing strategy (including advertising, website, social media, and community outreach) is meeting the expected guidelines and that he/she works with the Marketing team as necessary.
• Supports practice when necessary by working in the client reception area or if technically skilled he/she may support veterinarians.
• Partners with Heartland Support Center as needed.

Practice Leadership and Human Resources

• Executes all hiring activities to fill open support team roles. Posts job openings, manage the interview process, extends an offer, and ensures successful onboarding. Partners with Heartland Recruiting Team to hire DVMs.
• Ensures all team members review and sign off on the Heartland Employee Handbook and that employees adhere to code of conduct guidelines.
• Secure all employee records that may be housed at practice.
• Executes annual performance evaluations and salary increases.
• Conduct staff meetings when necessary.
• Awareness of employment and labor law and partner with RDO and HR for any state or local laws that may need to be addressed.
• Maintains high-level confidentially on all employee-related issues and partners with RDO and HR as needed on employee relations issues.
• Conducts regular check-ins with team members to ensure they have the tools and support they need to successfully complete their jobs and deliver a great client experience.
• Ensures all team members are engaged and have the support they need to stay balanced and productive.
• Monitors that the performance of each team member is on track. Rewards and recognizes successful performance and manages corrective action activities if performance is off track (partners with RDO/DVM on clinical performance improvement needs).
• Seeks appropriate support from RDO, Heartland Human Resources, or other Heartland leadership when faced with challenging situations or seeking support to ensure the team has all that they need to be successful.
• Other duties as assigned.

Veterinary Procedure Management

· Partnering with the MDVM to ensure all team members are adhering to practice operating procedures that ensure the accuracy and completeness of veterinary records and reports and ensure formats are in compliance with accepted practice guidelines.

· Ensures compliance with regulatory agencies and laws. This includes but is not limited to OSHA, DEA, EEOC, ADA, and the Department of Labor. Develops and maintains procedures necessary to meet regulatory requirements.

Heartland Partnership

· Frequently connects with Heartland RDO to ensure the practice and teams have everything they need to ensure high-performance client satisfaction. Escalates any needs to RDO to avoid a decline in performance.

Requirements / Qualifications

· Full-Time

· Must be available to work evenings and weekends as needed

· College degree preferred or High School diploma or equivalent

· 5 years of Leadership or equivalent experience

· Must be able to lift up to 25 pounds independently
