Compiles and distributes tickets and other travel information.
Handles last-minute travel plan changes and resolves travel problems for travelers.
Communicates courteously and professionally by phone and in person using good communication skills.
Assists supervisor with interviewing of new Travel Agents.
Assists with coordination of vacation schedule of all Travel Agents, alerting supervisor of concerns regarding vacation schedule.
Coaching and training of other Travel Agents with regard to travel activities and firm policies.
Schedules floater Travel Agents from travel vendor and trains floaters regarding SHB procedures.
Follows-up regarding complaints from travelers, resolving most complaints, alerting supervisor as needed.
Maintains traveler profile of each traveler in database.
Order department supplies as needed from appropriate vendors.
Assists Accounting Department in resolving travel payment issues.
Assists agents in explaining firm policy to travelers asking for travel arrangements outside policy, making exceptions to policy when warranted, and alerting supervisor of those exceptions.
Coordinates with other Travel Agents refunds and void paperwork preparations.
Assists in negotiating contracts with travel vendors – hotel, automobile and airline for rates and direct bill arrangements.
May be asked to meet with new employee groups to discuss travel policy and procedures at the firm.
Works with supervisor and others to continuously communicate policies and procedures to travelers.
Requirements:
